In the world of CRM, blueprints are like helpful guides that ensure everyone follows the right steps. They make sure users enter required information at each stage to keep processes running smoothly. But sometimes, making every field mandatory can cause problems.
Imagine a sales development rep (SDR) who needs to gather key details like company size and budget to qualify a lead. Later, an account executive (AE) will take over and dig deeper into specific needs and pain points. Customers, however, might share valuable details directly with the SDR. This creates a challenge: should the SDR be forced to fill in all fields even if some information isn’t available?
Admins used to solve this by adding extra fields and complex rules, making blueprints tricky to set up and manage. But now, there's a better solution.
CRM blueprints can now include optional fields in stage transitions, offering more flexibility. For example, SDRs can leave certain fields optional if the information isn’t available.
Here are some ways optional fields can be used:
In ticket resolution, users can fill in feedback fields if the customer provides details.
For task management, users can add extra details like estimated time and priority.
During registration, users can note preferences or special requirements.
In order fulfillment, users can include fields about order consolidation if combining multiple orders.
To set this up, simply go to a blueprint's transition form and mark fields as optional or mandatory. This way, users can move to the next stage even if some optional fields are left blank.
A new "Save as Draft" button lets users save their progress and complete the rest later.
Notes, tags, and attachments are now easier to find and use. Tags appear when you click the + Add button, while notes and attachments are under + Add > Associated Items.
So if you notice a field marked as optional but still appearing mandatory, check if it’s due to module settings, layout rules, or blueprint settings. As long as one of these makes it compulsory, it will stay that way. For application or implementation contact pfc-group.com .
