ZOHO CRM - Enhanced CRM Functionality with Custom Email Fields

In response to the diverse communication needs of modern businesses, we are introducing you with enhanced support for custom email fields in our CRM system. This feature addresses the common scenario where individuals maintain multiple email addresses for various purposes, such as personal communication, business engagements, and more. 

  • Implementation Steps:  

    To enable this feature:

    1. Navigate to Setup > Channels > Email in your CRM.

    2. Go to the Email Configuration tab and select Custom Email Preference.

    3. Enable the preference to start utilizing custom email fields.



  • Enhanced User Experience: Quick suggestions and autocomplete features in the email composer now support custom email addresses, streamlining email communication workflows.

  • Flexible Email Management: Users can now add and manage multiple email addresses for each contact, lead, or vendor within our CRM platform.

  • Comprehensive Communication Tracking: All emails sent to and received from these custom email addresses are seamlessly synchronized and displayed in the CRM's email related list.

  • Improved Reporting: Email conversations involving custom email field addresses are included in CRM reports, providing a comprehensive view of all communications.

Important Considerations:  

  • Availability of Email Views:

    • The "All Emails" view will be accessible if the total number of email fields, including system-defined ones, is five or fewer.
    • If the total exceeds five, you will automatically transition to the "All Emails - Sent from CRM" view for enhanced management.
  • Email Sharing Settings:

    • Sharing settings configured for primary and secondary email addresses will now extend to custom email addresses for consistency and security.
  • User Configuration Requirement:

    • To enable custom email field preferences, all users within your organization must be on the latest email configuration.
  • Supported Email Types:

    • This feature is currently supported for IMAP and POP3 users. Users with Gmail API integration will receive support in the coming months.
  • Mobile Application Support:

    • Please note that this feature is not yet available on our mobile applications. We are actively working to introduce this functionality soon.
