Dear Bigin users,
I hope all of you are doing well. We're happy to announce a few recent enhancements we've made to Bigin, each of which we'll go over in more detail.
IMAP integration enhancement
We are excited to announce an enhancement to our IMAP integration that introduces several useful options to help streamline your email management experience. Below is an overview of the key features:
Store sent emails
You can now conveniently store a copy of your sent emails in your mailbox. If your SMTP server does not support this feature, you can choose the Store sent messages on the server option in the IMAP configuration page, ensuring your sent emails are preserved in your mailbox. This addresses concerns about emails sent from Bigin not being visible in the user's mailbox.
Separate authentication for outgoing SMTP
You can now configure different email addresses for incoming and outgoing server details. By selecting the Use the same credentials for the outgoing mail server option in the configuration page, users can provide credentials for the outgoing mail server. This feature is especially useful when you want to send emails from one account while syncing emails from another.
Log in with a user name
We have added the ability to authenticate using your user name or email address during IMAP integration. This enhancement provides greater flexibility and ease of use.
Reauthorize
In case you change your mailbox password, we've introduced the ability to update your email password within Bigin. This significant improvement prevents the need to deactivate and reactivate the integration. OAuth users will be redirected seamlessly to their email account login page for password updates.
Note :
Please note that these enhancements are available only to those users who have already switched to the latest version of Bigin's email feature. If you can see these options in your Bigin account's email settings, it means that you are already on the latest version of Bigin's email feature. Otherwise, you will see a banner in your Bigin account as shown below. You can click on the banner link to move to the latest version.
Manually associating emails with deals
By default, when you open the Emails related list inside a pipeline record, it will show all the emails sent and received from the contact linked to the pipeline record. There might be situations where this contact is associated with multiple deals. In such cases, when you need to follow up or finalize a deal, you would likely prefer to view emails specific to that deal rather than having all of the contact's emails grouped together. Using this feature, you can link specific emails to their respective deals.
Inside a pipeline record, under the Emails tab, you can also switch between the "All emails of the contact" view and "Emails linked to this pipeline record", just in case you need it.
To associate an email with a particular deal, hover over the email subject and click the link button. A list of deals associated with the contact will be displayed; choose the deal to which you want to link the email.
You can perform this action from both the Contacts and Pipeline modules.
Once you link an email to a deal, a new icon will be displayed next to the email, indicating the association. You can always unlink the email or link it to another deal.
To unlink an email: Hover over the email's subject and click Unlink Pipeline Record(s).
To change the deal: Hover over the email's subject and click Change Pipeline Record.
Note:
When configuring email settings, it's important to consider how sent emails are associated before setting up IMAP. The process follows two distinct scenarios based on the deals associated with a contact:
- Single deals: If a contact is associated with just one deal, any email sent prior to IMAP configuration will be linked to that particular deal.
- Multiple deals: If a contact is associated with multiple deals, the sent email will be linked to the last modified deal among the multiple deals associated with that contact. This ensures that the email correspondence is appropriately tied to the most recent deal activity.
