We are here with two useful updates that will help you operate Zoho CRM more dexterously:
- New filter criteria for user-type fields
- View associated groups on the users' information page
Enhancement 1: New filter criteria for the user fields
Thus far in Zoho CRM, to view records based on a user's association, you were utilizing the user field to filter, sort, or classify. It allowed you to define a criteria based on the user.
For example: Lead owner is Harriet Nicholson.
While this is useful, it is limited to that particular user alone. Now, to get more contextual results based on user fields, we have come up with three new filter criteria for the user fields, that will help you fetch results based on users' roles and groups.
The criteria are:
- Belongs to role (Example: Contact owner belongs to role Business development manager)
- Not belong to the role (Example: Lead owner does not belong to the role Sales intern)
- Belongs to group (Example: Deal owner belongs to group Pacific executives)
These criteria are available in
- Custom view
- Advanced filter
Note: The criteria "belongs to group" is available only for advanced filters, at the moment.
Let's look at how these criteria will benefit you using examples!
Filtering records based on users' group:
Zylker eMarket is an e-commerce store that sells all kinds of electronic products and they have dedicated support teams for each product line. Now, to evaluate the quality of customer support and assess the types of customer grievances, a CX auditor might want to look at every cases created in each support team. Here's where the enhancement—filter by group will help the auditor. The auditor can now head to the cases module, filter records by groups, and asses each cases.
Filtering records based on users' roles:
Zylker is a digital marketing consultancy that specializes in branding and positioning for different businesses. Now, to look at the logo requests so far in the agency, the manager can filter the records in the assets module using the role: Logo designer. Now, based on this criteria, CRM will display only those asset requests that are being handled by logo designers in their agency.
Limitations:
For each criteria, you can use only 5 roles or 5 groups to filter records.
Enhancement 2: Associate group details in the user page
This enhancement is about viewing a user's association with different groups in the user information page. You can see to which groups a particular user is associated with.
Imagine you are a sales manager in charge of the personal care division and you wish to confirm if your team members are affiliated with the relevant groups—you can simply view the groups they belong to in one glance.
Please note that no permission is applied for the display of group sections and their members. We will show the associated group if a user is a member. However, the group details page will have its own permission settings.
