Job Sheets: Streamline Tasks and Enhance Delivery Standards

Job Sheets: Streamline Tasks and Enhance Delivery Standards

Zoho announced that one of the most requested features is now available: Job Sheets! These are customizable, reusable forms that act as both a checklist for tasks technicians need to complete and a tool for gathering data. When on-site, the checklists and instructions in the job sheet ensure that services are done correctly and efficiently. Technicians can update these sheets instantly using the mobile app, and after completing all tasks, they can attach photos of the work and add their observations. This documentation provides a reliable record that can be referenced later.

Here’s why you should start using job sheets right away:

Consistent Service Delivery

Job sheets help streamline processes and ensure that every technician follows the same procedures, resulting in consistent service. The predefined checklists serve as built-in quality control, whether the job involves inspections, installations, or repairs.

Improved Data Collection

With a structured format for documenting job details, job sheets help reduce errors and ensure that all necessary information is captured consistently by technicians. The sheets support multiple data types, allowing for flexible and complete data collection.

Accountability, Compliance, and Safety

Job sheets can include safety guidelines and compliance instructions to ensure technicians are aware of necessary precautions. This helps organizations meet industry standards and internal policies, reducing the chance of non-compliance. The standardized data also simplifies audits and reviews.

Mobile Accessibility

Using the mobile app, technicians can update job sheets in real-time while on-site. This ensures accurate information is collected instantly, reducing the chance of mistakes from manual data entry after the job is done. Office staff also have immediate access to the data, streamlining the workflow.

Training and Development

By providing a clear procedure, job sheets help new technicians quickly learn the right methods to complete their tasks. They can access important information like troubleshooting steps or safety protocols while on the job, reducing confusion and boosting confidence.

Associating Job Sheets with Services

To use a job sheet, it needs to be linked to a relevant entity such as Companies, Work Orders, or Service Appointments. In Zoho FSM, you associate job sheets with Services. Once linked, job sheets are available under the Job Sheets tab of any service appointment that includes those services.

Using Job Sheets in Service Appointments

All job sheets linked to the services in a service appointment will appear under the Job Sheets tab. While on the job, technicians can:

  • Fill out the details

  • Save as Draft

  • Save as Completed

They can choose "Start Filling" to begin the process and can later change the status to Completed by selecting "Save as Completed."

The technician can either Save as Draft or Save as Completed.

They can later change its status to Completed by clicking on Save as Completed.

These actions can also be done from the web app.
